VISIT PHILADELPHIA is currently searching for a Web Project Manager to join the team.  

Position

The Web Project Manager is responsible for supporting and leading web projects for Visit Philadelphia, ensuring continuous improvement, optimization and coordination across the organization’s broader digital portfolio. The role will especially focus on the end-to-end management and successful launch of a major, cross-organizational digital integration initiative, including platform consolidation, stakeholder alignment, and coordinated launch execution. This role combines leadership of a high-impact digital initiative with ongoing responsibility for general web project management across Visit Philadelphia.

This role requires a highly experienced, detail-oriented and collaborative project management expert who can thrive in a multi-stakeholder environment. The ideal candidate will be thorough, possessing an exquisite sense of attention to detail. Success hinges on the ability to efficiently coordinate busy, important stakeholders across different organizations, manage timelines, track all deliverables and ensure clear communication throughout the project lifecycle. 

This position reports to the VP, Web.

Primary Responsibilities

General Web Project Management:

  • Serve as a project manager for digital and web initiatives across Visit Philadelphia.

  • Scope, prioritize and manage enhancements, updates and new functional requirements across Visit Philadelphia’s digital platforms and web properties.

  • Coordinate with analytics, content, creative and technology partners to ensure web updates align with organizational priorities and user experience needs.

  • Manage timelines, requirements, communication, and cross-team alignment for assigned web projects across the organization’s digital portfolio.

Digital Integration Project Leadership & Multi-Stakeholder Coordination:

  • Serve as the primary Project Manager responsible for the overall planning, execution and closure of a major digital integration initiative.

  • Work with internal teams and vendor partners to maintain a comprehensive Master Project Plan and timeline across all phases, including discovery, requirements gathering, design, development, content migration, testing and launch.

  • Coordinate effectively with senior leadership and key operational teams across multiple partner organizations and vendor(s) to ensure alignment, accountability and timely decision-making.

  • Facilitate and lead all project-related meetings (virtual and in-person), establishing clear agendas, documenting decisions and tracking action items with meticulous follow-through.

  • Swiftly and efficiently coordinate schedules to secure time with busy, high-level stakeholders, ensuring consistent progress and timely decision-making.

Planning, Tracking & Reporting:

  • Utilize Monday.com as the primary project management software to rigorously track tasks, dependencies, resource allocation and progress.

  • Establish a clear and consistent communication cadence for project updates, risk alerts and milestone achievements.

  • Proactively identify and manage project risks and issues, developing mitigation strategies and escalating critical items to relevant leadership in a timely manner.

  • Manage project budgets, tracking expenditures and ensuring resources are utilized efficiently to meet project goals.

Process Management & Quality Assurance:

  • Define and document clear project scopes, goals and deliverables in collaboration with organizational leads.

  • Ensure that all project deliverables meet defined quality standards and organizational requirements before launch.

  • Manage change requests and assess their impact on scope, budget and timeline, securing necessary approvals for adjustments.

Other:

  • As needed, provide ad hoc support to the web content team, including assisting with CMS updates, executional tasks and more.


Qualifications

Education Requirements:

  • Bachelor’s degree in Business, Communications, Computer Science or a related field; or equivalent practical experience.

  • 5+ years of demonstrable experience in managing large-scale, complex projects, preferably digital (website/platform consolidation or redesign).

  • Proven experience managing projects that require coordinating with multiple distinct organizations or external partners.

  • Project Management Professional (PMP) or equivalent certification is a strong plus.

  • Attention to Detail: A paramount ability to manage complex schedules, track minute dependencies, and ensure accuracy across all project documentation and deliverables.

  • Expert Project Management Software Proficiency: Must be highly proficient and experienced in utilizing project management software (Monday.com or otherwise) for all aspects of project tracking and reporting.

  • Exceptional Interpersonal and Communication Skills: Demonstrated ability to build consensus and positive working relationships. Must possess a genuinely easygoing, kind, and helpful demeanor to foster collaboration.

  • Diplomatic and Proactive Coordination: Proven ability to overcome scheduling challenges and effectively gather input from important, busy individuals across various organizations.

  • Organizational and Time Management Mastery: Ability to establish priorities, manage multiple moving parts simultaneously and consistently meet demanding deadlines.

  • Problem-Solving: Strong analytical skills to identify issues and propose creative, thorough, and effective solutions.

  • Knowledge of and passion for the city and the five-county Philadelphia region is a plus.

Key Technical Skills or Applications:

  • Project Management Software: Proficiency in project management software (Monday.com or otherwise) is required for tracking all project progress, tasks, budgets, and reporting.

  • Collaboration & Communication Tools: High proficiency in platforms used for multi-organizational virtual meetings and communication, including:

    • Microsoft Teams or Zoom

    • Slack or equivalent internal communication platforms

  • Documentation and Office Suites: Advanced proficiency in the Microsoft Office Suite and/or Google Workspace (Docs, Sheets, Slides, Forms, Drive) for creating comprehensive project documentation, reports, and presentations. Specifically:

    • Microsoft Excel / Google Sheets (for detailed tracking, budgeting, and data analysis)

    • Microsoft Word / Google Docs

    • ​​​​​​​Microsoft PowerPoint / Google Slides

  • Web/Digital Project Knowledge: Working familiarity with the core concepts and tools used in large-scale website development and digital strategy, including:

    • Content Management Systems (CMS) architecture (e.g., WordPress, Drupal, custom platforms)

    • Basic concepts of SEO, UX/UI, and web analytics (e.g., Google Analytics)

    • Experience coordinating with web development and design agencies.

  • Foundational Skills:

    • Strong organizational and project management methodologies 

    • Strong communications and writing skills for clear, precise stakeholder updates and documentation.

    • Strong analytical and budgeting skills for resource and financial tracking.

    • Knowledge of and passion for the city and the five-county Philadelphia region.


Salary & Benefits

Salary Range: $70,000 - $75,000

We operate in a hybrid work environment; employees have the option of working remotely two days per week.
