VISIT PHILADELPHIA is currently searching for a Temporary Marketing Project Manager to join the team.  This full-time, benefit-eligible position is anticipated to end on August 31, 2026.

 

Position

The Temporary Marketing Project Manager is responsible for planning, managing, and executing projects related to Visit Philadelphia’s marketing campaigns and initiatives. They reinforce systems and processes to manage workflow (timeline, budgeting, briefing development, individual/team briefings, reviews, approvals, release, trafficking) and systems based on learnings and industry best practices. They also assist in the definition of project scopes and objectives ensuring feasibility --resource availability, technology, budget, risk identification/mitigation. They will create and maintain comprehensive project documentation; manage projects via project management software (monday.com)  and address questions and/or concerns throughout the project to ensure that all projects are delivered on-time, within scope and within budget.

This position reports to the Senior Director of Marketing.

 

Primary Responsibilities

Meeting Management:

  • Assist with meeting scheduling (internal & external).
  • Attend re-occurring meetings and record minutes.
  • Record next steps for participants.
  • Create Meeting Note Archive.
  • Distribute notes to attendees.
  • Meetings may include:
    • Advertising Status.
    • All Staff Meetings.
    • Project Meetings, as needed.


Marketing Grant and Partnerships Administration:

  • Track expenditures and results for use in mid and final grant/project reports.


Creative Brief Development and Management:

  • Take internal creative requests and turn into set of instructions for creative team.
  • Create and maintain comprehensive project documentation; manage projects via project management software (monday.com).


Creative Production Support:

  • Research new production vendors.
  • Develop RFP’s where available, requesting and reviewing multiple bids per project.
  • Assist with tracking and execution of new contracts
  • Assist with procurement and execution of Marketing Sweepstakes


Presentation/Recap Support:

  • Assist with design and layout of internal and external decks, 1-pagers and documents
  • Assist with development of Marketing Project Recaps


Integrated Marketing Project Leadership:

  • Lead cross-functional project team from brief to execution for special projects
  • Manage timelines and project milestones
  • Maintain clear communication across departments to ensure strategic alignment


Advertising:

  • Assist with keeping up to date guide of all ads in market
  • Assist with management and trafficking of assets to media buying agency, as needed
  • Ensures compliance with contractual, and company standards, specifications, and best practices.
  • Performs other related duties as assigned.

 

Qualifications

Education Requirements:

  • BA or BS degree in related field (or commensurate experience).
  • At least 5 years of related work experience preferred.

  • Brand marketing project management experience
    • Activation/Experiential initiatives - planning and execution
    • PR Campaigns
    • Brand/Marketing partnerships
  • Administrative Skills:
    • Written and verbal communication
    • Data tracking
    • Finance activities such as coding expenditures, creating purchase orders, developing SOW’s for contracts
  • Experience ordering print collateral like branded notebooks, apparel, brochures, stickers, etc.
  • Organizational Skills:
    • Excellent organizational skills
    • Workback calendar creation
    • Server organization
    • Slack administration
    • Monday.com administration
  • Limited design sense and experience creating visually engaging documents with easily digestible insights
  • Excellent communication, written and verbal communication skills; Ability to deliver clear, concise and accurate messages through all means
  • Ability to establish priorities and objectives; to gather, categorize and readily retrieve information in a timely manner
  • Ability to make sound decisions as needed and the ability to direct and coordinate the activities of others
  • Ability to manage multiple projects at once from conception to completion
  • Strong team player and willingness to contribute to department and company goals
  • Understanding of the production process and experience managing productions (TV, print, digital, radio, social media, etc.)

Key Technical Skills or Applications:

  • Proficient in Microsoft Office Suite or related software (i.e., Excel, MS Word and PowerPoint); project management software (monday.com).
  • Familiarity with Google Slides and PowerPoint.

 

Salary & Benefits

Salary Range: $65,000 - $75,000
